Privacy Policy

Your information should be handled with care. Here's what AgentSignal collects, what it does with that information, and the choices you have.

Last updated: 23 October 2026

Who we are

AgentSignal is an AI visibility service for real estate professionals, offered by AdText AI in New Zealand. In this policy, “AgentSignal”, “we” and “us” refer to the service operator. You can contact us at support@adtextai.com with privacy questions.

Information we collect

  • Account details: email address, password stored as a secure hash, email verification status, session identifiers and security/rate-limit records.
  • Agent profiles: name, agency, town/city, service areas, property types, strengths and the custom questions you save.
  • Scan data: questions sent to AI providers; their answers, recommendations, cited links and sources; competitor mentions; scores, saved reports, action progress and scan history.
  • Coaching text: text you choose to paste into the paid bio optimiser. Drafts you edit in the browser may also be stored on that device.
  • Subscription details: Stripe customer and subscription identifiers, plan status and scan/optimisation allowances. Your card details are handled by Stripe, not stored as card numbers in AgentSignal's database.
  • Technical records: basic request and security logs, and AI usage metadata such as the provider, model, duration, tokens and estimated or reserved costs.

Some scan information concerns other professionals named in public AI answers or publicly available sources. That material may include personal information, even though you did not enter it yourself.

Why we collect and use it

We use this information to create and secure accounts, run the checks you request, produce and save reports, compare scans, provide Visibility Coach, manage subscriptions, prevent abuse, investigate problems and respond to support or privacy requests.

Providing an email address and password is necessary to create an account. A profile and scan questions are needed for a personalised scan. Paid billing requires checkout details with Stripe. Optional details or bio text only need to be supplied if you use those features.

Who receives information

To run scans, we pass relevant profile details and search questions to the AI providers being checked. Current plans use OpenAI (ChatGPT), Google (Gemini) and Anthropic (Claude for Pro); other providers such as xAI (Grok) may be used where that coverage is offered or for older reports. The providers return recommendations and, where available, source links. The paid bio optimiser sends the text you submit and relevant saved scan context to OpenAI.

We also use Render for application hosting and database storage, Stripe for subscription payments, and Resend for account and security emails. Google Fonts supplies fonts used on the public website. The website and infrastructure providers may process technical information needed to deliver their services.

These suppliers may process information outside New Zealand. AgentSignal's application/database currently uses a Singapore hosting region. Data processed by AI and other service providers may be handled elsewhere. Their processing is subject to their own applicable policies and contractual arrangements, and we review overseas handling against New Zealand privacy requirements. We do not promise that a third-party provider will never retain information.

Who can view your reports

Your account, private profiles and scan history are not public by default. If you choose Create share link for a completed report, anyone with that link can view the information included in the shared version. Links expire after 90 days, and you can revoke them sooner. Expiring or revoking a link does not itself delete your saved report.

Don't share a report link with someone who should not see it. The public sample report uses made-up data.

Cookies and local device storage

We use an essential, secure session cookie so you can stay signed in. The browser also stores some interface state, such as your selected profile, scan recovery information and editable Coach drafts on your device. You can clear this information using your browser controls. The application does not currently use advertising tracking cookies; if that changes, we will update this policy and provide any required choices.

How long information is kept

Account details, profiles, scan responses and reports are generally retained while your account is active and needed to provide the service. Some records may need to be kept longer for security, accounting, disputes or legal obligations. There is not yet an automatic account-data deletion schedule or a self-service delete-account button. You can ask us to review or remove your account data using the contact details below.

Sessions are created with a maximum 30-day lifetime; email verification links expire after 24 hours and password-reset links after 30 minutes. Shared report links expire after 90 days. Expiration of a link or token does not necessarily mean its database row or any related logs are deleted immediately. Backups and some third-party copies may persist for their own retention periods.

Keeping information secure

We use encrypted HTTPS connections, password hashing, HttpOnly session cookies, account-based access controls and rate limiting. These controls reduce risk but no internet service can guarantee absolute security. Please use a strong, unique password and tell us promptly if you think your account has been accessed without permission.

Your choices and privacy rights

Under New Zealand privacy law, you can request access to personal information we hold about you and request correction if it is wrong. You may also ask us to delete information or close your account; we will review requests and explain if any information must be retained. We need to verify that you control the account before releasing or removing private information.

Email support@adtextai.com with the subject “Privacy request”. Please don't email passwords, payment card numbers or copies of identity documents unless we specifically arrange a safe verification method.

If you're unhappy with how a privacy matter has been handled, you can also contact the Office of the Privacy Commissioner in New Zealand.

Changes to this policy

We will update this page when our practices change, with a new “Last updated” date. Where a change materially affects how we use information, we will take appropriate steps to let account holders know.
